Hands-on from the first hour

The curriculum

Five roles, five courses

People do not all need the same knowledge. A warehouse clerk should not have to understand the Application Dictionary, and a developer should not spend a day learning where the Save button is. Each course targets one role and stops where its job stops.

End user — 1 day

For the people who enter documents day to day. It covers logging in, finding your way around the ZK web client, and using the menu, search and smart filters. Delegates then work their own documents end to end — a sales order, a goods receipt, an AP invoice — with attachments and the basics of the document workflow, so they know what "Complete" and "Void" do.

Power user — 2 days

For the person on each team others turn to first. It adds the reporting toolset — running and filtering reports, saving custom views, exporting to Excel and PDF, and tailoring print formats — plus reading the document workflow to see where a transaction is stuck. A guided, read-only tour of the Application Dictionary is enough to raise a precise change request, not enough to break anything.

Functional consultant — 4–5 days

The deepest business-side course. It walks the full document flows — quote to cash and procure to pay — and how each step posts into the Accounting Schema. Delegates configure a client from the ground up: Business Partner Groups, Product Attribute Sets, Price List Versions, tax categories and rates, payment terms and workflow. We cover costing choices and diagnosing a posting that has not gone through, so a delegate can scope, configure and test a straightforward requirement without code.

Technical / developer — 5 days

For Java developers who will extend the platform. It covers the OSGi plugin architecture and build setup, callouts and model validators, custom processes and the event manager, packaging work as a 2-Pack, reporting with BIRT and JasperReports, and the REST API for integrations. Everything is taught the upgrade-safe way — extend through plugins, never patch the core — so the code survives the next iDempiere release.

Administrator — 3 days

For whoever keeps the system running once we have gone. It covers the roles and security model in depth — access rules, table and record access, organisation-level visibility — plus user provisioning and de-provisioning. On the operations side we teach database backups and restore drills, applying patches against a test instance first, log and performance monitoring, and the housekeeping that keeps a PostgreSQL instance healthy. It closes on a practical incident: something breaks, and the delegate works out where to look.

Note. These durations are indicative ranges for planning, not fixed quotes. The final length depends on cohort size, how much we tailor to your configuration, and whether delegates are new to ERP.

How we deliver

Four ways to run a course

The right format depends on where your people sit, how many need training, and whether you want to keep delivering after we leave. Most clients mix two or three.

On-site

A trainer at your premises, working from your sandbox on your network. Best for larger cohorts and for the end-user and power-user courses, where being in the room and reading over a shoulder speeds everyone up. We supply the exercises, trainer and assessment; you supply the room.

Remote

The same courses delivered live over video, with delegates on a shared cloud sandbox and screen-sharing when they get stuck. It suits distributed teams and the developer and administrator courses, where everyone already works at a keyboard. Sessions are usually split into half-days to hold attention across time zones.

Train-the-trainer

We train a small group of your own experts to deliver the end-user and power-user courses internally. You get the slide decks, exercise scripts, assessment questions and trainer's notes, plus a run-through before your first internal cohort. This is how large or fast-growing teams keep onboarding new starters without a purchase order each time.

Recorded

We record the live sessions — or produce short, task-focused clips — for new joiners and refreshers. Recordings sit alongside the written runbooks, so a new clerk can watch how a goods receipt is raised, then do it themselves. They never fully replace a live course, but they cut the cost of onboarding later starters.

Skills assessment

An honest measure of who is ready

Every course ends with an internal skills assessment: hands-on tasks against the sandbox, marked by the trainer, plus a few written questions on the concepts. Be clear about what this is — our internal competency check, not a formal iDempiere accreditation. What it gives you is real: a per-delegate result showing where each person is confident and where they need another pass, so a manager can decide who is ready to work unsupervised. For the developer and administrator courses it is practical throughout.

A training engagement is a small project of its own. Here is how we run one, whether it is a single course or a full enablement programme across every role.

Assess audience & roles

We map who needs what: how many end users, which teams, how many power users per department, whether you have developers to train or want us to carry that load. The output is a role-by-role headcount and a recommended set of courses.

Tailor curriculum & sandbox

We seed a training sandbox from your configuration — your Accounting Schema, price lists, roles and workflows — and adjust each course's exercises to use your documents and terminology, so generic material is replaced with tasks delegates recognise from their own jobs.

Deliver the sessions

Courses run in the agreed format — on-site, remote, train-the-trainer or a mix — with short explanations followed by hands-on tasks. Trainers keep a running list of the questions each session surfaces, which often feeds back into the configuration.

Assess & certify (internal)

Each cohort completes the internal skills assessment. Results are collated per delegate and shared with your team lead, flagging anyone who would benefit from a follow-up before working unsupervised. To be clear, this is our own competency check, not an external accreditation.

Hand over docs & follow-up

You receive the course materials, runbooks, quick-reference guides, recordings and assessment results. We schedule a follow-up session a few weeks later — once real work has surfaced the real questions — and route anything larger into Support & AMS.

Runbooks written for your system, not the manual

Community documentation explains iDempiere in general. What your team needs is the sequence of clicks for your month-end, on your configuration. That is what a runbook is.

Alongside the slide decks we hand over operational runbooks — step-by-step procedures for the recurring tasks that must go right every time. A month-end runbook walks the close in order, from checking unposted documents to running the reconciliation reports; a year-end runbook covers period control and opening the new fiscal year; administrator runbooks cover backups, restores, patching and user provisioning, each with the exact commands and screens for your environment. Quick-reference guides cover the daily actions. All of it is yours to edit — editable source, not a locked PDF — so your team can keep it current.

Common questions

Training, answered plainly

No, and we will not pretend otherwise. iDempiere is a community project without a single official certification authority, so what we issue is an internal skills assessment result from SCM Software Lab — an honest statement that a named delegate completed the course and demonstrated the tasks. It is useful for deciding who is ready to work unsupervised, but it is not an external accreditation.
Yes — that is the default. We seed a training sandbox from a copy of your configuration and, where sensible, a masked slice of your data, so the exercises use your Accounting Schema, price lists, roles and workflows. It stays separate from your live system, so nothing a delegate does can affect real transactions.
We do both. We have delivered iDempiere training on-site and live over video for teams in several countries and time zones. Remote courses run on a shared cloud sandbox with screen-sharing, usually split into half-days. For larger international rollouts, train-the-trainer often works out cheaper than flying a trainer to every location.
Six to ten works best for hands-on courses. Below that the economics get thin for a full day; above about twelve, delegates wait too long for help during exercises. To train forty end users we would rather run several smaller cohorts, or train the trainer, than fill one room where half the group is idle.
This is exactly what the recordings, runbooks and quick-reference guides are for — a new clerk can watch how a task is done, read the one-page card, and try it in the sandbox. If you expect steady hiring, train-the-trainer gives you an in-house person who can run the end-user course on demand, or recurring onboarding folds into a Support & AMS arrangement.
